Your responsibilities
- Managing company documentation, invoices, and calendars, ensuring deadlines are met and records are properly organized and archived
- Ensuring the smooth day-to-day functioning and professional appearance of the office
- Coordinating repairs, inspections, and maintenance; responding quickly to urgent issues or shortages
- Managing office supplies (including stationery, coffee, tea, etc.) to ensure uninterrupted operations
- Independently organizing company events, workshops, conferences, and office parties
- Operating office software such as Microsoft Office (Word, Excel, PowerPoint)
- Close cooperation with HR and Accounting departments
- Preparing presentations, reports, and analyses for the management team
- Ensuring efficient information flow between departments
- Managing relationships with local partners, service providers, building management, and courier services
- Supporting internal travel logistics for employees and international visitors
- Proactively identifying and responding to colleagues’ needs
- Creating simple graphics and social media posts
- Maintaining high standards of service quality and supporting a positive internal and external company image
Our requirements
- Previous experience in a similar position
- Very good command of English (spoken and written)
- Availability to work full-time from our Katowice office (on-site role)
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong interpersonal and communication skills
- Ability to work under time pressure
- Excellent organizational and time-management skills
- Independence, patience, and a proactive mindset
- Strong attention to detail
