W skrócie

PIAP Space seeks a Procurement and Supplier Relations Specialist in Warsaw to source mechanical/electronic parts, manage suppliers, track orders, and support RFQ/RFI processes. Requires 2+ years experience, Polish & English fluency, and technical awareness.

Skrót przygotowany przez AI na podstawie treści ogłoszenia.

We design, engineer and deliver robotic solutions for space. Our hardware is used in international missions developed within European consortia, including projects for the European Space Agency. Behind every flight part is a supplier who must deliver it on time, to specification and with the correct documentation. That’s where this role comes in.

We are a small, close-knit team. You would work directly with the Supply Chain Manager and our Logistics and Warehouse Specialist, maintaining daily contact with engineers, project managers and suppliers across Europe.

What you will do:

  • Source and order mechanical parts (machined components, assemblies, raw materials and surface treatments) and electronic components for our projects.
  • Work with specialised suppliers, including machine shops, coating and surface treatment providers, electronics distributors and manufacturers of aerospace-grade components.
  • Track down hard-to-source items and manage long-lead-time purchases, including parts with limited availability, single-source components, allocation shortages and lead times measured in months rather than weeks.
  • Monitor delivery schedules and maintain regular communication with suppliers.
  • Follow up with suppliers by phone and email, escalating issues when necessary and coordinating corrective actions.
  • Track and oversee purchase orders, deliveries and payment statuses.
  • Support and manage activities related to the Request for Quotation (RFQ) and Request for Information (RFI) processes.
  • Gather information required to support procurement and contracting processes.
  • Prepare and maintain procurement documentation, including non-disclosure agreements (NDAs).
  • Maintain and develop our supplier database, including contact details, capabilities, qualification status and cooperation history.
  • Ensure effective information flow between suppliers and internal teams.
  • Support the team with day-to-day operational and organizational tasks.

What we expect:

  • University degree - any field of study.
  • At least 2 years of experience in procurement, purchasing, supply chain, logistics or a role involving direct interaction with B2B suppliers.
  • Fluency in Polish. Daily contact with Polish suppliers is a core part of this role,
  • so native or near-native proficiency is preferred.
  • Good command of English, both written and spoken, enabling effective communication with international suppliers and business partners.
  • General technical awareness. You do not need to be an engineer, but you should be comfortable reading technical specifications, asking the right questions and learning how things are made.
  • Excellent interpersonal and communication skills, including confidence in conducting phone conversations and building relationships with business partners.
  • Strong negotiation skills and the ability to pursue business objectives effectively. We are looking for someone who does not give up after the first "no".
  • Strong organizational skills and attention to detail, with the ability to maintain accurate documentation and well-structured processes.
  • Familiarity with Incoterms and international shipping.
  • Determination, persistence and a results-oriented mindset.
  • Ability to work independently and take ownership of assigned tasks.

Nice to have:

If you have experience or knowledge in any of the areas below, that’s great.

  • Basic understanding of machining processes (e.g. milling, turning and coordinate measuring machine (CMM) measurements) and surface finishing technologies such as anodising, chromate conversion coating or passivation.
  • Familiarity with reading technical drawings and specifications.
  • Awareness of quality requirements in regulated industries, including material certificates, traceability and first article inspection.
  • Exposure to export control regulations, including ITAR, EAR and EU dual-use regulations, or a willingness to learn about them.
  • Knowledge of space-sector standards (e.g. ECSS) or experience working with requirements flowed down from a prime contractor or space agency.
  • Professional or academic experience in the aerospace, space, defence or advanced manufacturing sectors.
  • Genuine interest in space technologies, engineering and how things are built.

What we offer:

  • The opportunity to make a real contribution to international space projects developed within multinational consortia.
  • A small, non-corporate team where your work is visible and your ideas are heard.
  • Professional development opportunities, including training, industry networking events and conferences.
  • External training - real courses that build your skills.
  • Private healthcare coverage.
  • Life insurance.
  • Access to sports benefit packages.
  • Hybrid work model (full on-site presence expected during the onboarding period).
  • Salary: PLN 8,000–12,000 gross / month (full-time employment contract), depending on experience
