We are a global IT Services organisation looking for an experienced HR Operations Specialist to join our team in Gdańsk, Poland.

In this role, you will support day-to-day HR operations for our Poland Centre, ensuring accurate, timely, and compliant delivery of HR services to employees and internal stakeholders.

Key Responsibilities:

Manage day-to-day HR operations, including payroll and benefits administration, employee records, and HR documentation

  • Administer leave and absence processes and maintain accurate employee data
  • Respond to employee queries related to Polish labour law, payroll, medical insurance, social security (ZUS), and other HR matters
  • Coordinate employment contracts and onboarding documentation for new employees
  • Collaborate with HR Business Partners, Employee Relations, Payroll, and other HR functions on operational matters and ad-hoc projects
  • Work with external HR/payroll vendors and support effective vendor management
  • Participate in HR Operations audits and ensure compliance with internal policies and local regulations
  • Ensure all HR activities are completed accurately, within agreed SLAs and deadlines, and to a high standard of quality
  • What we're looking for:2+ years of experience in HR operations, HR administration, payroll, or a related operational roleStrong knowledge of Polish labour law and its practical application in HR
  • Hands-on experience with payroll operations, ZUS, benefits administration, and/or HR/payroll vendors
  • Good working knowledge of MS Excel and MS WordFluent Polish and English, both written and spoken
  • Strong organisational and project management skills, with excellent attention to detail
  • Excellent communication and interpersonal skills, with the ability to work effectively with employees and stakeholders at all levels
  • Ability to prioritise and manage multiple tasks, meet deadlines and SLAs, and maintain a high level of accuracy and service quality
