In short

Viktor.com is seeking a Workplace Lead in Warsaw to manage office space, including supplies, repairs, events, and culture. Requires proactivity, creativity, and strong English; Polish is a plus. On-site role with founders' attention and budget.

AI-written summary based on the listing content.

We're hiring someone to make our office somewhere people love coming to.

You'll own the space and what happens in it - how it looks, how it feels, and the moments when the team comes together. A welcome a new joiner remembers, an idea that becomes a tradition, a table worth sharing lunch at. Some people want a lively lunch; others need quiet to focus. Both should feel at home here. This isn't office admin. It's a role with real budget, real ownership and the founders' attention.

You'd spend your first weeks watching how the office actually gets used: who sits where, what breaks, what people complain about and what they miss. After that you'd start changing it, and keep going.

What You'll Build

The office that runs itself - supplies, couriers, repairs, access, cleaning. Building management and suppliers handled, problems actually fixed, not just reported.

The moments people look forward to - team lunches, celebrations, workshops, surprises. Your ideas, tried, and adjusted to what the team actually enjoys.

Everyday culture - introductions, new joiners finding their feet, noticing who's being left out, traditions people want to join.

The space - furniture, lighting, plants, the details that make it comfortable and distinctive. Ideas turned into options, prices compared, deliveries arranged, setup seen through.

The feedback loop - ask what makes the office better or harder to use, act on it, and let the space adapt as we grow from ~40 toward 100.

Why This Role Is Different

Nobody hands you a plan. You notice what would make the office better, decide it's worth doing, do it and tell us after. A rough idea tried this week beats a perfect one next quarter, provided you see it through and fix it yourself when it doesn't land.

Who You AreReliable through the less exciting parts. You'll chase a supplier, track an order and reset a room after an event.

Creative with practical judgment. You can spot what would make a room or an event better and work out how to do it within budget.

Warm and attentive. You enjoy meeting people and helping them feel comfortable.

Proactive to a fault. You see the thing and do the thing.

Strong English (company language); Polish a big plus for suppliers and building management.

Warsaw, on-site. This role is the office.

No minimum years of experience and no need to have been an office manager. Show us something you organised, improved or brought to life and tell us what you personally did.

Useful, not required: you've built an office function from scratch, negotiated a vendor below their first quote, or use AI tools (ChatGPT, Claude, Viktor) to systematize your own work.
