About the roleWe're looking for an organised, independent person who wants a varied role in a small team. You'll keep our Polish operations running smoothly, support our people, and act as aNorwegian-speaking link to a group of our clients and to our sales efforts in Norway. You'll report directly to the Country Manager Poland and work closely with finance, HR and our Norwegian colleagues.
What you'll doOperations & finance administration
- Prepare and process bank transfers and review bank statements
- Work with our external accounting office: invoices, questions, missing documents
- Keep company documentation in order, both digital and physical
- Prepare the monthly absence summary for payroll
- Upload costs to our finance tools
- Support corporate matters: board resolutions, the annual shareholders' meeting, KRS updates, PIT-11, GUS reports
- Handle office matters: purchases, suppliers, mail, company equipment inventory, travel bookings
- Other ad hoc tasks defined by the Country Manager
- People & HR operations
- Manage employee benefits (private medical care, sports cards, PPK)
Coordinate occupational health and safety (BHP) training
- Prepare new contracts and appendicesRun onboarding and offboarding checklists and access to tools
- Organise team events, birthday wishes, holiday gifts and cultural initiatives
- Support eNPS surveys
- Resource planning & systemsRun monthly checks of registered hours
- Prepare data for, and eventually lead, allocation review meetings
- Keep our time-tracking and project system (Moment) accurate: project parameters, rates, holidays and absences
- Norwegian client coordination & sales support
- Act as the day-to-day contact for a portfolio of smaller Norwegian clients: coordinate tasks with our team, follow up on tickets and spot upsell opportunities
- Monitor Norwegian public tenders and support tender processes
- Support sales with research, preparing materials and outreach in Norwegian and English
- What we're looking forFluent Norwegian, at least B2/C1 in speaking and writing
- Fluent Polish and very good English (C1)2+ years of experience in administration, office or operations management, HR, project coordination or a similar role
- Experience working with invoices, bank transfers or an accounting officeA structured, precise way of working and the ability to juggle many small tasks without losing track
- Confidence in communicating with clients and colleagues at different levels
- Good command of Google Workspace and willingness to learn new toolsNice to haveBasic knowledge of Polish labour law and HR administration
- Experience in a digital, IT or agency environment
- Experience with project coordination or account management
- Familiarity with Hub
- Spot, Jira, Confluence or Trello
- Experience with public procurement, especially Norwegian tenders (e.g. Doffin)
What we offer
Employment contract (UoP) or B2B, for 12 months with an option to extend
Salary: [9,000-12,500 PLN gross/month (UoP)] / [11000–14000 PLN net + VAT/month (B2B)]
