Your responsibilities

  • Managing and maintaining calendars (Outlook), scheduling meetings and conference calls with global stakeholders
  • Arranging and coordinating travel (flights, hotels, ground transportation)
  • Handling expenses, preparing and reconciling expense reports, and submitting invoices for payment
  • Supporting the preparation of presentations, reports, and other business documents
  • Acting as the primary point of contact for internal stakeholders and external clients/vendors, ensuring effective communication
  • Entering and managing data and proposals in the CRM system
  • Providing comprehensive administrative support to French-based partners (executive-level)
  • Preparing and reading contracts in French, responding to business correspondence
  • Participating in client meetings (note-taking, calendar coordination, follow-ups)
  • Collaborating closely with the French Office Manager
  • Reporting directly to French partners

Employer requirements

  • Fluent/native French (min. C2 level) – mandatory
  • Fluent English (min. B2+, ideally C1) – used daily in systems (e.g., SAP ERP) and internal communication
  • Proven experience in an Executive Assistant or high-level administrative role, ideally in a consulting or international environment
  • Strong business maturity and professional presence
  • Excellent knowledge of business etiquette and communication standards
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint) and comfort working with digital tools and CRM systems
  • Excellent organizational skills, time management, and ability to multitask in a fast-paced environment
  • High attention to detail and proactive attitude
  • Excellent interpersonal skills and customer-oriented mindset
